Special Consular Services for Filipinos in Queenstown and the surrounding areas - 13 to 17 August 2021

The Philippine Embassy will render a special mobile consular mission for Filipinos in Queenstown and the surrounding areas on the following schedule and location:

The consular services are as follows:

  • Passport issuance/renewal/replacement (online appointment needed);
  • Overseas Voting Registration (no appointment needed); and
  • Dual citizenship oath taking (appointment needed thru separate email system).

CONSULAR APPOINTMENT SYSTEM AND HEALTH PROTOCOLS

To ensure the safe and orderly delivery of services, the Philippine Embassy is implementing an online appointment system. All applications for Philippine passports (new, renewal, replacement of lost/mutilated/damaged) are strictly by appointment only, i.e., No Walk-In Policy.

Measures will also be implemented to ensure adherence to physical distancing and other health protocols prescribed by the New Zealand Government. Alert Level One is NOT Alert Level None. Thus, No Mask, No Entry.

Appointments can be made online through https://booking.philembassy.org.nz/. The procedure on booking may be viewed via this link: https://philembassy.org.nz/online-appointment-system/how-to-use-the-appointment-system. The appointment system will be opened by 02 August 2021, Monday, at 7:00 PM.

Appointments are non-transferrable. The schedule should be under the name of the passport applicant.

One booking per one applicant. For example, parents should ensure that each one of their children who are also applying for passports have their own booking. This is to minimize delays and avoid long queues and waiting time.

“No-shows” / automatic blocking of applicants with existing appointments. Please ensure, if you secure a slot, that you actually appear for your appointment. To prevent double, multiple and hoarding of bookings, the appointment system has a built-in feature that would automatically block for a period of six months, anyone with existing appointments. During said period, you will not be able to register for another appointment, whether at mobile missions or at the Embassy in Wellington.

Please ensure that you book the correct service and at the correct venue. An appointment schedule cannot be converted from one service to another or from one venue to another, e.g., booking at Wellington for a slot at the mobile mission.

Kindly note that applicants with expiring passports in 2021 or those whose passports have validities of less than one (1) year would be prioritized. Those with non-urgent transactions should defer renewal of their passports.

OTHER IMPORTANT REMINDERS / REQUIREMENTS

  1. Present original passport, i.e., not just a copy, including for those applying for replacement of mutilated passports and except for first-time applicants (newborns/infants/minors).

  2. Bring photocopy of datapage, including as much as possible, for those applying for replacement of lost passports, and except for first time applicants.

  3. For minor applicants (ages 17 and below) and non e-passport holders (sample e-passport below), bring one original and one photocopy of NSO/PSA Birth Certificate (BC), or Report of Birth (ROB) if born in New Zealand, Cook Islands, Fiji, Samoa or Tonga. Non e-passports include brown passports issued before 1 May 1995, machine readable ready green passport, or machine readable passport with “XX” prefixes on serial numbers. If you are not sure and your passport does not look like this sample, it is advisable that you bring your NSO/PSA BC or ROB.

  1. For minor applicants, parents should provide photocopies of their own passport datapages.

  2. If applying for replacement of lost passport, bring NSO/PSA Birth Certificate, Affidavit of Loss certified by Justice of Peace, and Police Report.

  3. Bring a prepaid, local courier bag with signature required sticker (requires signature upon delivery). It should be self-addressed (write your name and address as receiver). This is for the delivery of your new e-Passport and return of your cancelled old passport.

  1. Payments should be made in cash. Please refer to the schedule of fees in the Embassy website at https://www.philembassy.org.nz/consular/schedule-of-fees.

  2. For passport applicants who retained/reacquired Philippine citizenship, bring your original Identification Certificate, photocopy of NSO/PSA Birth Certificate, and NSO/PSA Marriage Certificate or Report of Marriage.

  3. Passport applicants must wear a shirt with collar for photo capturing purposes.

  4. The consular mission team will not process any Dual Citizenship applications at the venue. Deadline of submission: 04 August 2021.

Only those whose applications were approved from 01 January to 31 July 2021, will be able to take the oath of allegiance during the consular mobile service to ensure that the New Zealand Government’s COVID-19 physical distancing measure is met. There is no need to book an online appointment. There is a separate email system in setting schedules for oath taking.

  1. Parents should bring the NSO/PSA Birth Certificate or Report of Birth (ROB) of their minor children. Note that an ROB is only accepted for first time applicants and that for the passport renewal of other minors, an NSO/PSA BC is required. This is pursuant to the updated instructions of the Department of Foreign Affairs (DFA) in Manila.

  1. For newborn children, ensure that you have filed the ROB with complete requirements via courier to the Embassy before the consular mission. The mission team will not process any ROB applications at the venue. Likewise, this is in accordance with the same updated DFA instructions on passport processing as well as to comply with New Zealand Government COVID-19 protocols, especially since infants and small children are involved.

  2. Please include a note with the documents you are submitting, saying that you would want your child’s ROB to be brought to the consular mission venue for passport processing. Deadline of submission: 04 August 2021.

Mail Report of Birth (ROB) requirements to:

  1. For payment of the ROB, please create an account on the Embassy’s website and submit documents via courier so that the officer-in-charge can evaluate if the requirements are complete before payment/processing: https://booking.philembassy.org.nz/

  2. Applicants who recently got married and would want to change their names have to file their Report of Marriage (ROM) with complete requirements via courier to the Embassy before the consular mission.
